A service contact acknowledging an equipment claim does not tell the outlet whether the visit, parts or labour will be covered. A complete-looking file can also contain the wrong serial number or a document whose applicability has not been confirmed.
This guide keeps one claim linked to the existing asset register and follows its evidence and correspondence. It does not decide legal entitlement or replace fault handling. WC-028 is an original fictional case with important questions still open.
Link the claim to one physical asset
Record the claim-case ID, asset tag, model, serial number and current outlet. Match the identity to the existing register and unit evidence. Link the fault record, purchase record, installation or commissioning record and relevant service history instead of creating a second asset register.
If the asset has moved, keep the transfer reference and ask the responsible issuer or provider to confirm any effect on the applicable arrangements. A new outlet address in the asset register does not itself confirm that coverage transferred.
Establish which document applies
Identify the issuer and the exact warranty document, version or date, transaction and territory scope. Keep the source file and written applicability confirmation. If applicability to this unit or transaction is unresolved, record that uncertainty rather than choosing a convenient document from the manufacturer’s website.
Record the start trigger, supporting evidence, term, notification requirements, claim channel, conditions and exclusions from the applicable records. Do not assume the clock starts at invoice, delivery or commissioning, or invent an expiry date from a generic term. Refer uncertain or conflicting terms for clarification before relying on them. This is a document record, not an interpretation of legal rights.
Worked example: WC-028 at the review cutoff
At 15:00 IST on 7 November 2026, Outlet North reviews fictional asset OV-028, model Example Oven M, serial EX-028. Its identity matches REG028 and PHOTO028. Fault F028 was logged on 6 November at 09:00 under the site’s existing fault controls.
Invoice INV028 is available, but installation record INST028 has not been located. WD028 is on file, yet its applicability to this serial and transaction and the evidence for its start trigger remain unconfirmed. No term, expiry or coverage conclusion is entered. The fictional issuer is not a real manufacturer.
| Event or evidence | Date / reference | Meaning at cutoff |
|---|---|---|
| Fault record | 6 Nov 2026, 09:00 IST / F028 | Existing site fault controls apply |
| Claim notification submitted | 6 Nov 2026, 11:00 IST / SEND028 | Submission recorded |
| Acknowledgement received | 6 Nov 2026, 12:00 IST / ACK028 | Issuer reference CL028; installation proof requested |
| Installation record | INST028 not located | Evidence gap remains |
| Issuer coverage decision | No decision recorded by cutoff | Pending; acknowledgement is not acceptance |
| Cost responsibility | Not confirmed | Pending, not zero |
Keep correspondence as dated events
Retain each submission, acknowledgement, request for information and response with the sender, recipient role, time and document reference. Use the issuer’s actual claim reference alongside the internal case ID. Add later events without rewriting the earlier review snapshot.
WC-028 is Acknowledged at the cutoff. The facilities coordinator must seek the installation evidence and written clarification of applicability and cost responsibility. The next internal follow-up is 8 November at 10:00 IST. That is an owner-set review time, not a contractual deadline or evidence that notification requirements have been met.
Record the outcome with its scope
When an issuer responds, retain the actual wording and supporting reference. A decision may cover one part, exclude a visit charge or remain conditional on more evidence. Do not reduce that to a blanket “accepted” label that loses its scope. Record any unresolved cost question separately.
A quotation, inspection booking or technician attendance is not proof of free work. Follow the existing approval process for work and costs. Keep invoiced, disputed and settled amounts in their proper records; this sheet does not authorise payment or calculate a recoverable amount.
Separate claim closure from technical release
Continue the site’s fault and continuity controls while the claim is being handled. Do not delay necessary reporting or safety action to finish the paperwork, and do not attempt repairs or tests through this worksheet. Technical assessment and release stay with the qualified arrangements already in place.
A claim may be administratively closed while a cost question or operational restriction remains open. Record what closure means, who recorded it, when and which linked actions still need an owner. Conversely, equipment returning to service does not prove a claim was accepted or its costs settled. WC-028 remains open because the evidence, outcome and cost questions are unresolved.
Why the exact document matters
RATIONAL’s published manufacturer warranty statement illustrates that claim records can require an original invoice and evidence of installation and can contain specific conditions. That is a reason to locate the correct documents, not to import its terms into another claim.
The cited page includes US-specific provisions. No duration, notification deadline, transfer rule, exclusion or coverage promise from it is applied to WC-028 or to a reader’s equipment. Confirm the applicable documents for the actual unit and transaction.

Warranty Claim Record
Use Warranty Claim Record for one identified claim. The fully manual sheet links the asset and fault records, provides 10 evidence/document rows, 8 dated event rows, 6 open-question/action rows and 6 review/closure rows. The summary keeps the recorded claim status, issuer outcome reference, cost responsibility and next internal review separate. Record document applicability, start-trigger evidence, term or end date only as supported, and leave unresolved items explicit. There are no automatic expiry, deadline, eligibility or cost calculations. Extend the complete event history when needed and copy the sheet for a different claim. Retain restricted documents in their existing location and use references in the shared record.
